Download B: Month-End Accruals and Provisions Tracker (.xlsx)
What it does
Month-end provisions with auto-reversal. It matches the later invoices to each provision and flags under- or over-provision beyond your tolerance. It also catches invoices that came in with no provision.
Who it is for
Finance teams running the month-end close.
How to use it
- Go to the 'Settings' tab. Type the month-end date you are providing for (for example 31-Oct-2026) and your tolerance: a percentage (for example 10%) and a minimum rupee amount (for example ₹5,000). A difference is acceptable if it is within the larger of the two.
- Go to the 'GL Master' tab and type your expense GL codes and names (sample codes are given). The Provisions tab looks up names from here.
- Go to the 'Provisions' tab. Delete the sample rows and enter one line per provision: a unique reference (for example P-01), vendor, GL code, cost centre, description, basis (Contract, PO, Estimate, Run-rate) and amount.
- When invoices for that month arrive, enter them on the 'Actuals' tab and type the matching provision reference in the 'Provision ref' column. Leave it blank if there was no provision.
- Go back to 'Provisions'. Each line now shows the actual amount, the variance and a status: Within tolerance, Under-provided (invoice higher than provision), Over-provided (invoice lower), or No invoice yet.
- Check the 'Actuals' tab for 'Unmatched' invoices. These are expenses nobody provided for and should be reviewed for the month they belong to.
- Use the 'Summary' tab for the journal entries (month-end provision and next-month reversal), the GL-wise totals, and the checks. All checks should say OK.
