Download U: Vendor Statement Reconciliation (.xlsx)

What it does

Matches invoices, payments, debit notes and credit notes by reference and amount between your ledger and the vendor's statement, lists what is on one side only (including TDS the vendor has not booked), and reconciles one closing balance to the other.

Who it is for

AP teams at month end and before audits.

How to use it

  1. Go to 'Settings'. Type the vendor name, the reconciliation date and the two opening balances (amount you owe, as a positive number). The closing balances are worked out from the lines you paste; compare them with your ledger and the vendor's statement.
  2. Go to 'Our books'. Paste the vendor ledger: date, document type (from the list), the vendor's invoice or reference number, and the amount. Invoices and credits from the vendor go in 'Credit'; payments, debit notes and TDS go in 'Debit'.
  3. Go to 'Vendor statement'. Paste the vendor's statement the same way from their side: invoices they raised in 'Debit', payments they received and credit notes in 'Credit'.
  4. Each line shows 'Matched' or why it is not. TDS lines are matched against the TDS the vendor shows; if the vendor has not booked it, it appears as a reconciling item.
  5. Go to 'Reconciliation'. The difference should be zero. Send the list of open items to the vendor and agree them.
