Download Q: Vendor Master Checklist (.xlsx)
What it does
Checks each vendor's PAN format, GSTIN format, whether the PAN inside the GSTIN matches, IFSC format, duplicate PANs and duplicate bank accounts, MSME (Udyam) details, and whether onboarding documents and an independent approval are on file. Each vendor gets 'Ready' or a list of what is missing.
Who it is for
AP teams, internal auditors and anyone reviewing a vendor master.
How to use it
- Go to 'Settings'. Type your company name and the review date. Change the approver rule if needed.
- Go to 'Vendors'. Replace the sample rows with your vendor master export: code, name, PAN, GSTIN (leave blank if unregistered), IFSC, bank account number, MSME category, Udyam number and the document flags.
- Read the 'Issues' column. 'Ready' means every check passed. Otherwise it lists each problem, separated by ' | '.
- Use Excel's filter on 'Issues' to work through the list. Fix the master in your ERP, then paste the export again.
- Go to 'Summary' for the counts and the Checks box. Keep a copy each quarter as evidence of the vendor master review.
