Download W: Journal Entry Register and Review (.xlsx)
What it does
A register of manual journals that checks each entry balances, has support and was approved by someone other than the preparer, and flags weekend or holiday postings, entries after close or outside the period, sensitive accounts and large round amounts.
Who it is for
Controllers, reviewers and internal auditors.
How to use it
- Go to 'Settings'. Type the period, the close date, the round-amount threshold and your company holidays. List the sensitive accounts (for example revenue, cash, suspense and related-party accounts).
- Go to 'Register'. Paste the journal lines from your ERP: JE number, posting date, account code and name, debit, credit, narration, preparer, approver and the supporting document reference. One row per line.
- Read the 'Flags' column. Blank means no flag. Each flag is a reason to look at the entry, not proof of an error.
- Go to 'JE summary' for one line per entry, showing whether it balances and how many flags it has.
- Record the reviewer's sign-off in the 'Reviewed by' column and keep the file with the month's close papers.
