Duplicate Invoice & GL Variance Analyzer

Drop in an AP ledger, GL dump or Tally export to flag duplicate invoices, the same invoice under two vendor names, round amounts, entries just below an approval limit, weekend postings, unusual amounts and month-on-month swings by account.

1. Ledger or ERP export

Excel or CSV with one row per entry. A vendor, document number, date and amount column give the best results; only the amount is required.

or drag and drop it here

2. What to check

Add a file to begin, or try the sample data.

What each check means

  1. Exact duplicate: same party, document number and amount. Document numbers are compared ignoring spaces, punctuation and leading zeros; party names ignore Pvt, Ltd, LLP and similar.
  2. Possible duplicate: same party and amount within the chosen number of days but a different document number, a common sign of an invoice keyed twice.
  3. Same invoice, different party: one document number and amount booked against two vendor names, which can point to duplicate vendor masters.
  4. Just below approval limit, round amounts, weekend dates, negatives, unusual amounts: red flags used in audit sampling. They are prompts to look, not proof of error.
  5. Variance: monthly totals by account compared with the previous month, flagged when both the % and ₹ thresholds are crossed.
